A retention policy needs a retrieval drill

Confirm that authorized staff can find and preserve the footage the policy promises.

Translate days into a use case

The requested retention period depends on when incidents are discovered and who investigates. Agree on recording mode, bitrate, camera count, clock and permitted export. A storage calculator can estimate capacity but cannot prove that a clip remains usable and accessible at the required age.

Check the true oldest recording

Choose representative cameras, including high-motion exterior scenes, and inspect oldest available footage. Review drive health, storage thresholds, changed settings and whether an offline camera created a silent gap. Include cloud licensing and egress assumptions if that architecture applies.

Rehearse authorized preservation

Give a trained user a sample date, time zone and location, then measure search, playback, export and secure transfer. Verify the recipient can open the native or agreed format. Log who accessed and shared footage under the owner’s policy; an export that cannot be viewed is an incomplete process.

Document the exception

If measured days fall short, record which cameras and why before adjusting compression or policy. Inform the decision owner about quality, storage and privacy tradeoffs. Re-test after adding cameras or changing recording behavior.

Working example: The scenario below is illustrative. It describes a practical design and review method, not a completed customer project or a guaranteed result.

A working scenario

A manager expects thirty days but a high-motion yard camera has only nineteen.

The decision to make before buying

Measure oldest real footage and document recording assumptions by stream.

A useful acceptance test

Retrieve and export a sample at the required age from an authorized account.

What the owner should receive

Keep capacity model, actual measurements, exception decision and revisit trigger.

Questions owners ask

Is thirty days of storage equal to thirty days of evidence?

Only if each relevant camera recorded, timestamps align and an authorized person can retrieve the footage. Test all three.

What happens when a new camera is added?

Recalculate and verify actual oldest recordings after normal operation. A new stream can shorten retention across shared storage.

Project conditions and responsibilities vary. Confirm the actual scope and test plan with the owner and project team.
