Inventory effective permissions
Review user groups, doors, schedules, shared badges and active vendor accounts. Focus on who can enter today, not just who was approved when the system was installed.
Link changes to a responsible owner
Define how onboarding, transfers and departures reach the access administrator, and how exceptions expire. Coordinate keys and physical door hardware with the electronic record.
Test and document the review
Sample denied and authorized access at critical openings, verify audit logging and record remediation. A repeatable review reduces dependence on one person remembering every change.
Working example: The scenario below is illustrative. It describes a practical design and review method, not a completed customer project or a guaranteed result.
A working scenario
A valid badge appears at a restricted door after an employee transfers roles. The system performed its programming correctly; the permission process did not keep pace.
The decision to make before buying
Reconcile identity source, role approvals, access groups, contractor expiration, elevated privileges, review cadence, and separation of duties. Define how exceptions are granted and documented.
A useful acceptance test
Sample recent departures, transfers, and temporary permits against door-group permissions and event records. Test revocation across controllers and any offline mode without exposing personal data unnecessarily.
What the owner should receive
Keep an approval and removal log, periodic review owner, exception expiry, and controller sync evidence. A reader upgrade cannot replace a disciplined authorization process.
Questions owners ask
Can an access system identify intent?
A valid credential event says which credential the system saw, not why it was used or necessarily who held it. Pair logs with role approvals and relevant context under the owner's policy; avoid overclaiming that analytics can determine misconduct.
What is the highest-value process fix?
Review permissions at transfer and departure, expire temporary rights, and assign an owner for privileged groups. Test that revocations reach each controller, including offline exceptions.
Project conditions and responsibilities vary. Confirm the actual scope and test plan with the owner and project team.
