An opening record makes later faults faster to isolate.

Capture the complete assembly

Record the door identifier, reader, lock, request-to-exit, position switch, power and controller location. Include the approved egress and fire interface reference where applicable.

Exercise normal and exceptional use

Test authorized entry, denied entry, exit, held-open or forced-door alert where in scope, power interruption and restoration. Note any conditions that could not be tested.

Leave the service map

Tie the as-built drawing, panel terminal, cable label, programming name and test result to the same opening ID. A technician can then follow the whole path.

Working example: The scenario below is illustrative. It describes a practical design and review method, not a completed customer project or a guaranteed result.

A working scenario

A future technician finds a label “Door 12” but not its controller input, strike power source or access group. The handoff should describe the whole opening.

The decision to make before buying

Track hardware set, reader, exit request, position contact, power, controller, network, schedule, camera association and safety interface under one unique identifier.

A useful acceptance test

Use one completed record to reproduce valid, denied, held-open and approved failure tests with a person unfamiliar with installation.

What the owner should receive

Deliver a door schedule, wiring references, firmware and configuration owner, test evidence, known exceptions and approvals.

Questions owners ask

What makes a door record complete?

It should connect physical hardware, electrical behavior, access software and the room's purpose. Include reader and controller IDs, input and output references, lock power, position and exit devices, approved fire connection, schedules, nearby video and known exceptions. A single “door passed” checkbox cannot capture those relationships.

Who should witness the handoff?

Facilities, access administration and any relevant trade or authority should verify their respective parts. Ask a future support technician to trace a fault from the record without installer narration. Note any opening the team could not test and why.
