Why planned maintenance matters

Use documented condition reviews to prioritize corrective work.

A reactive visit starts when a system has already failed. A planned condition review starts with documented checks and findings before a failure forces a decision.

What a review can cover

Depending on the installed system and agreement, review device condition, power, recording, image quality, communication and open deficiencies.

Turn findings into a plan

Rank issues by urgency and operational impact. Keep records of what was checked, what needs repair and what should be budgeted for replacement.

Working example: The scenario below is illustrative. It describes a practical design and review method, not a completed customer project or a guaranteed result.

A working scenario

A door intermittently fails to latch, yet a scheduled inspection reports only that the reader powers on. Preventive work needs a defined check aligned with actual failure modes.

The decision to make before buying

Name inspected assets, frequencies, access constraints, batteries, camera views, recording, event paths, and exclusions in the agreement. Separate discovered repairs from included maintenance tasks.

A useful acceptance test

Review sample findings: is there a timestamped symptom, test performed, result, priority, owner and retest? Compare recurring faults across visits instead of resetting the ticket each time.

What the owner should receive

Keep asset-level inspection records, open deficiencies, repair approvals, and budget priorities. A “passed” checklist without measurements offers little basis for planning.

Questions owners ask

How does preventive maintenance differ from a repair call?

Preventive visits follow an agreed asset list and inspection method. They look for deterioration before a reported failure, then give the owner findings and recommended action. Repair work investigates a symptom and may require parts, specialist labor or an approval outside the inspection scope. Put both definitions in the agreement, including access windows, response times and exclusions.

What is a useful finding?

“Door 3 intermittently fails to latch; closer speed observed outside the owner's intended operation; hardware specialist review required” is more useful than “checked door.” The record should show the observation, location, action, responsible party and retest outcome. Avoid treating a visit as complete while critical exceptions remain unresolved.
